∙ Hosting and Hospitality: – Welcome people/visitors to Diversey Reception & assist as needed – Attend to and set up catering (tea/coffee/food) for meetings as required – Monitor the events calendar and room bookings and organise room bookings as needed in conjunction with the concerned manager. – Assists guests(for lunch or meeting rooms) / prepares and assists in training/meeting – Follow the necessary safety protocol while managing these group bookings. ∙ Communications: – Maintain a pleasant and friendly manner while communicating with Diversey staff and its guests/visitors. – Attend to phone calls & forward as necessary. – Attend to general email enquiries and pass to relevant departments. – Ensure to inform/remind employees of their letters in mailbox. Page 1 of 3 ∙ Business and Annual Travel Arrangement: – To comply with requisition form for all travel requests both business and personal/Annual Ticket. – Providing / completing requirements for visa applications ( for business travel) – Providing / completing requirements for visa applications, provide a reasonable lead time to prepare the travel pack with all necessary documents (for business travel). ∙ Office Admin: – Arrange Jafza gatepass for employees and visitor – Creates and files non-stock PR/PO – Sales Team Documentation Support ( For first 1 hour – 8 to 9am) – Update employee files in Shared drive i.e.: passport, Emirates id, visa copy, photos etc. – Business cards requests – Office Stationery Purchase – Daily checking in and out of the Office facilities and coordinate with contractors for office maintenance or incase of any breakdown. – Managing the office pantry supplies in conjunction with the office boy and PRO to procure it as necessary. ∙ Executive Assistance: -Provide executive assistance to our Regional President in managing his dairy/calendar, meeting booking and organisation, travel schedule management, Business Expense Submission, event organisation and any adhoc support as may be requested from time to time. – Provide necessary support to all guests hosted by the President whether internal or external and answer to their queries.
Education: High School/Secondary Associate/Technical Bachelor/University Masters Doctorate Other:Bachelor degree or equivalent diploma in Business Administration Experience: 0 – 3 Years 3 – 5 Years 5 – 8 Years.Soft Skills (desired) ∙ Communication and presentation skills ∙ Organizational Skills – keep files and records organized and in compliance with legal requirements ∙ Microsoft Office and Operating programs related to role requirement.
